BC RFID Count: Inventory Accuracy Without the Overhead
Picture a jewelry store that counts its case inventory twice a day — once closing out at night, once opening up in the morning. High-value, small items, constant handling: for a business like that, “we’re pretty sure it’s all there” isn’t good enough. They need to know, every single time, with minimal disruption to actually running the store.
Ask most Business Central customers what they actually want from a count like that, and the answer is rarely “run me through the full Physical Inventory process.” What they want is simpler: know what’s actually in the case, and know it fast.
That’s the gap BC RFID Count is built to close.
The Problem With “Just Do a Count”
For a jewelry store, the count usually isn’t done in Business Central at all — it’s a manual tally. Count how many pieces are in the case or tray, count how many pieces were pulled from the safe that morning, and check that the two numbers match.
That tells you how many pieces should be there. It doesn’t tell you which pieces. If the tray comes up one short, a headcount match doesn’t say whether it’s the diamond pendant or the plain gold band that’s missing — someone still has to eyeball every piece against a list, or hope nothing was swapped, mislabeled, or moved to the wrong tray in the meantime. A count that balances in total can still be wrong in exactly the way that matters.
Business Central’s own toolkit — Physical Inventory Journals, Warehouse Physical Inventory Journals, Physical Inventory Orders with recordings, counting periods — solves this properly, but it assumes you’re willing to run a real process: calculate expected quantities, print count sheets, scan or key in each item individually, then reconcile variances line by line. For complex, segmented, multi-team counts, that depth is exactly what you need.
For that jewelry store, doing all of that twice a day, every day, isn’t realistic — it would eat into the hours they should be spending with customers. So they fall back to a tally, and accept the blind spot that comes with it.
What BC RFID Count Actually Does
BC RFID Count strips the process down to what customers are really asking for: scan, and know.
Here’s the entire workflow from the user’s side:
- Choose the scope — a case, a tray, or an entire store.
- Scan the space. Pass an RFID reader over the area. Every tagged item in range gets read individually — no line-of-sight, no picking up each piece, no manual entry.
- Get the discrepancy report. BC RFID Count compares what was physically read against what Business Central expects to be there, and names exactly which items are missing, which are extra, and which are in the wrong location — not just whether the total is off.
That’s it. No journal setup. No calculated lines to review before you can start. No printed sheets. The count is the scan.
For that jewelry store, this is the difference a tally can’t give them. A headcount says “one is missing.” BC RFID Count says which one. Close up for the night: scan the case, and know immediately if it’s the pendant or the band that’s unaccounted for. Open in the morning: scan again before the doors unlock. Two scans, two discrepancy reports naming exact pieces — without ever touching a clipboard or hoping a visual check catches the swap.
Built for the Question Customers Are Actually Asking
BC RFID Count isn’t trying to replace Business Central’s full Physical Inventory process — for customers who need segmented counts, multi-team recordings, or formal audit documentation, that functionality is still there and still valuable.
BC RFID Count exists for the far more common case: a customer who doesn’t need a process, they need an answer. Scan the case. Scan the store. See what’s off. Fix it.
That’s the power of RFID — not just faster counting, but a fundamentally simpler relationship between “I want to know if my inventory is right” and actually knowing.
Not Just for Business Central
While BC RFID Count is purpose-built for Business Central, the scan-and-compare approach behind it isn’t tied to any one system. The core process — read what’s physically there, compare it against what the ERP expects, surface the discrepancies — is the same regardless of which platform holds the inventory data.
That means the same approach can be fitted to other ERPs as well. Whatever system a customer runs, the underlying question is identical: does the physical count match the system record? RFID answers that question the same way every time, which makes this workflow just as applicable outside the Business Central ecosystem as it is inside it. If you’re running something other than Business Central and want to know whether this approach fits your system, Barcom can help you figure that out.
